A water-damage intake script should first identify immediate danger, then capture contact and property details, caller-observed source and conditions, access, insurance information when available, and the company's confirmed next step. It should not diagnose contamination, authorize unsafe entry, promise coverage, or replace a qualified field assessment. Adapt this template to local law, insurer and program requirements, and the company's reviewed safety and dispatch policy.

Before the questions: settle, then steer

Open by taking control kindly: “I can help — we handle this every day. I’m going to ask you a few quick questions so we can get the right crew moving.” The structure itself is reassuring. And capture the callback number in the first thirty seconds, before anything else — if the call drops, everything else is worthless.

Section 1: Safety screen — always first

  • “Is anyone hurt, and is everyone able to get clear of the water?”
  • “Is water anywhere near outlets, the electrical panel, or ceiling light fixtures?” — if yes, advise staying clear of that area; a genuine electrical hazard is an escalation, not a booking.
  • “Any sagging ceilings or bulging walls?” — keep people out of that room.

Hard rule: safety concerns are never scripted into a scheduling flow. They route to a human immediately, with everything captured so far attached.

Section 2: Source and status — is it still active?

  • “Is water still coming in right now, or has it stopped?”
  • “Do you know where it’s coming from — a pipe, an appliance, the roof, a backup from a drain?”
  • “Do you know where your main water shut-off is?” — talk them to it if the source is supply-side; every minute of flow is added scope.

Active-versus-contained is the fork in the whole script: active losses dispatch now; contained losses can book a first-thing inspection. Nothing else in the intake changes the response tier as much as this answer.

Section 3: The loss itself

  • “What kind of water is it — clean from a supply line, or is there any sewage or outside floodwater involved?” — the caller won’t know category language; these plain words get you close enough to set crew expectations and protective equipment.
  • “Which rooms are affected, and on which floor? Has it reached carpet, hardwood, or gone through a ceiling?”
  • “How long has it been running — minutes, hours, or did you just find it after being away?”
  • “Roughly how much standing water — damp, puddles, or inches?”

Section 4: Insurance — carrier, claim, and expectations

This section decides how the job gets worked and paid, and callers handle it fine when it’s framed as help: “A couple of insurance questions so we can document everything the way your carrier needs.”

  • “Who’s your homeowner’s insurance carrier?”
  • “Have you called them yet or filed a claim?” — if yes: “Do you have the claim number handy?” If no, note it; don’t stall the dispatch on it.
  • “Are you the homeowner, or a tenant or property manager?” — determines who can authorize work and whose policy applies.

Section 5: Property and access

  • Full address, and house, condo, or commercial space.
  • “Will someone be there to let the crew in? Any gate codes, pets, or parking notes?”

Section 6: Close with a commitment, not a maybe

End every intake with a concrete next step spoken back: “Here’s what happens now — our crew chief is being notified as we speak, you’ll get a text confirming, and the truck will be there within the window I gave you. Keep clear of the wet ceiling, and call this number if anything changes.” A caller who hears a plan stops dialing your competitors. A caller who hears “someone will call you back” keeps working the list.
